What’s the first – and probably easiest – step you can take to ensure your keynote gets off to a great start once they arrive at the event destination?

Ensuring your speaker is comfortable and prepared before their presentation is essential to your desired outcome. You take steps to ensure they’re well-informed about your company, conference theme, audience, and event location. You ensure they know when and where to arrive, and sometimes even book their travel. So, what’s the secret? ?
? When you meet with your planning team on-site, meet with your point of contact for hotel rooms. Ask to tour your speaker’s room in advance to ensure it meets (or better yet, exceeds) expectations and ask that the room be pre-keyed hours before their arrival.
Once they arrive at your event destination, you can welcome them in the lobby and hand them their room key. ?️ Your speaker won’t need to go to the front desk to check-in, be asked awkwardly for a credit card, or have to engage with curious bystanders (especially if they are a celebrity). Most often, all charges for a keynote (room, tax, meals, and incidentals) will be hosted by the event organizer and sent to the master bill anyways.
It’s a small step, but it can be the “key” to getting your speaker off to a successful start.
