Big-name speakers can be a big draw for your event and raise awareness about your organization. But you can also find yourself in a big quandary if you’re not sure what to expect.
Speakers come with travel and stage requirements, but celebrities often come with more specific contractual obligations and rider requests. And because they’re usually in higher demand, they can command higher fees and have higher expectations.
The more lead time you have to book a celebrity and review their contract and rider, the better. Some tips to keep in mind:
? Screen stars have filming schedules that take precedence over speaking engagements. Have a backup plan in case your celebrity has to cancel.
? Many celebrity speakers prefer shorter speech times or moderated conversations.
? VIP meet and greets and photo-ops may be more tightly controlled/limited.
? Due to busy, often unpredictable schedules, last-minute travel is common. Many celebrities arrive/depart the same day and some require a private plane.
? Most require high-level hotel accommodations and anonymity; some prefer to stay at a different hotel than your event.
? Most celebrities travel with an assistant and/or security.
? Prepare a green room for hair and makeup, private meetings, etc.
? Videotaping is often not allowed.

? Your celebrity speaker knows you’ve done your due diligence to prepare for their arrival.
? You avoid unnecessary stress onsite.
